An approval gate should answer one clear question: is this exact draft ready for this audience and channel? Give the approver the final text, source links, any unresolved claims, and the intended publication date. Define whether they are approving factual accuracy, brand voice, legal risk, or all three; different reviewers may own different checks.
Keep a visible status—pending, changes requested, approved—and record the version approved. If a material claim changes after sign-off, return it for the relevant review. Silence is not approval. The writer should receive specific requested edits rather than a vague rejection, and publication should use the approved version, not a newer unreviewed copy.
