A to-do list works when tasks are actionable
A to-do list becomes easier to use when each item describes a concrete next action. “Project” is a category; “send the draft for review” is a task you can complete.
Add a small set of items, give only time-sensitive ones dates, and group related work without hiding the next step. Test how the list behaves when you edit, complete, reopen, and delete an item. If synchronization matters, verify it across devices before trusting the list as your only record.
Review the list regularly so completed work does not obscure what remains. Keep sensitive details out of a service unless its storage and access controls meet your needs.
